Privacy Policy

What we collect, what we do with it, and what we will never do with it. Covers thecaregiverfiles.com and The Caregiver Files App.

Effective date: July 2026

The short version: we collect the minimum needed to run the site and the App. Care data you enter belongs to you and the circle you invite. We do not sell data, run ads, or train AI on your information. Ever.

Who This Covers

This policy covers the website at thecaregiverfiles.com and The Caregiver Files App at thecaregiverfiles.com/app. "We" means The Caregiver Files, the operator of both.

What We Collect on the Website

The website has no accounts and no forms. We use Google Analytics to understand basic traffic: pages visited, approximate location by region, device type, and how visitors found the site. Google Analytics uses cookies. We do not see your name, exact address, or anything that identifies you personally from this data.

The Free Emergency Sheet Builder

Everything you type into the free Emergency Sheet builder at thecaregiverfiles.com/app stays in your own browser's local storage. It is never transmitted to us or to anyone else. The "Clear my data from this browser" button removes it from your device. If you never create an account, we never receive anything you typed.

What We Collect in the App

If you create an App account, we collect and store:

  • Your email address and a password (stored in encrypted form by our accounts provider; we never see the password itself)
  • The parent profile you create and the care information you and your circle enter: medication lists and logs, daily care notes, shift handoff notes, and similar records
  • Display names that circle members choose when they accept an invite
  • If you buy the unlock, the license key you activate. Payment itself is handled entirely by Payhip and its payment processors. We never see or store your card number.

Care records can include sensitive health-related information about the person being cared for. We treat all of it the same way: it exists to be shown to you and the people you invited, and for nothing else.

What We Do With It

One thing: run the service. Your email signs you in and receives account-related messages. Care data is displayed to the members of the care circle it belongs to. That is the whole list.

What We Never Do

  • We never sell or rent your data to anyone
  • We never use care data for advertising
  • We never use your data to train AI models, and we do not permit our providers to
  • We never share care data with anyone outside your circle except as required by law

Who Can See Your Information

Three groups, and only three:

  • Your care circle. People you invite see the care records for that circle, according to the role you gave them. You control the invites.
  • Service providers. Supabase hosts the App's database and accounts. Payhip and its payment processors handle purchases. Google Analytics processes website traffic data. Each processes data only to provide its service.
  • Legal requirements. If the law compels disclosure, we comply, and we disclose no more than the law requires.

Where Your Data Lives and How It Is Protected

App data is stored with Supabase, a professional database provider, protected by encryption in transit and access rules that limit every record to the members of its own care circle. We use industry-standard practices appropriate to a service of this size.

Here is the honest part most privacy policies skip: we depend on third-party providers, and no one can truthfully promise absolute security. A breach, outage, or policy change at a provider is a real, if unlikely, possibility that we do not control. What we can promise: we collect the minimum, we grant access to no one beyond your circle, and if we ever learn of a breach affecting your data, we will tell you what we know without stalling.

Retention and Deletion

We keep your data for as long as your account exists. Delete requests are honored: contact us and we will delete your account, the care records you own, and your circle memberships. Data you entered into someone else's circle belongs to that circle's records and is controlled by its owner. Free Emergency Sheet data never reached us, so deleting it is entirely in your hands via your browser.

Cookies and Do Not Track

The website uses Google Analytics cookies for traffic measurement. The App uses only the technical storage needed to keep you signed in. We do not respond to browser "Do Not Track" signals, because we do not track you across other sites in the first place.

Children

The site and the App are built for adults managing an aging parent's care and are not directed at children under 18. We do not knowingly collect information from children. If you believe a child has created an account, contact us and we will delete it.

California Residents

The Caregiver Files operates from California. California residents may request to know what personal information we hold about them, request its deletion, and will never be discriminated against for exercising those rights. Since we do not sell personal information, there is nothing to opt out of. To exercise any of these rights, use the contact method below.

Changes to This Policy

If this policy changes in any material way, the effective date above will be updated and a notice will be posted on this page. Continued use of the site or App after changes are posted constitutes acceptance.

Contact

Privacy questions and deletion requests can be sent to the contact address on file with Payhip, or by replying to your Payhip receipt email. The Caregiver Files does not publish a direct contact address to protect the privacy of the anonymous brand, but every message through these channels is read.

Governing Law

This policy is governed by the laws of the State of California. Any dispute arising from it shall be resolved exclusively in the state or federal courts located in San Bernardino County, California.
